This role demands a highly skilled and detail-oriented candidate with excellent communication skills and a strong proficiency in scheduling, travel management, Microsoft Office applications and remote meeting platforms. Requirements

  • 5+ years of executive assistant or administrative assistant experience supporting senior executives, as well as experience supporting multiple executives simultaneously across different time zones.
  • Ability to prioritize and handle multiple projects to meet deadlines with minimal supervision.
  • Excellent oral and written communication skills, with ability and comfort level communicating with executives and senior leaders.
  • Outstanding interpersonal skills with high degree of EQ.
  • Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Calendar management (Outlook), expense management (Concur), and travel-booking experience.
  • Ability to take initiative and ownership as needed.

Responsibilities

  • Provide high-level administrative support, serving as both the primary point of contact and gatekeeper for internal and external stakeholders. Build and maintain strong relationships with internal and external stakeholders.
  • Manage a complex and dynamic calendar, scheduling appointments, creating meeting agendas and documents, and setting up video conferences, meetings, and events. Proactively anticipate and solve scheduling conflicts.
  • Coordinate and support logistics, materials, agendas, and communications for internal and external meetings, as well as executive-level monthly and quarterly management meetings. Take meeting minutes.
  • Create documents in Word/Excel/PowerPoint as requested.
  • Handle all aspects of complex travel planning—flights, accommodations, ground transportation, visas and documentation (if applicable).
  • Expense Management.
  • Handle sensitive and confidential information as needed with discretion and professionalism.
  • Other duties and projects as assigned.
