This position starts at $23 with the potential to increase over time based on expanded job responsibilities and established experience. Responsibilities  General Administrative support for Executive Management and Director Teams Executive Assistants generally ensure the smooth-running of the office, working both on a one-to-one basis with the executives, but also on a wider basis with internal and external clients.

Requirements

  • Ability to prepare reports and handle written and oral communication with diverse groups
  • Proven ability to meet deadlines and follow-through on assigned tasks
  • Ability to communicate in a professional manner on the phone and in person. Strong verbal and written communication skills
  • Ability to read, analyze, and interpret agreements and other legal documents
  • Ability to work independently.
  • Good organizational skills and excellent attention to detail

Responsibilities

  • Acting as the point of contact between the executives and internal or external colleagues
  • Organizing meetings and booking meeting rooms
  • Prepare and submit administrative and credit card PO’s for payment processing
  • Assist leadership team with vehicle reservations
  • Handling correspondence directed to managers
  • Making travel arrangements and detailed travel itineraries and expense reports
  • Taking dictation and minutes and writing them up subsequently
  • Producing reports and presentations
  • Maintain branded merchandise PR materials inventory
  • Maintain office supply inventory and organization
  • Assist with physical inventory maintenance
  • Assist with minor IT support services
  • Prepare correspondence and presentations to diverse groups and individuals including advocating for organization at various community, university, government, business, and provider network meetings
  • Act as board liaison for management team by providing administrative support to the board of directors throughout the year including scheduling meetings and retreats.
  • Ensures the timely preparation, publishing and distribution of materials (e.g. requests, agenda, schedules, polls, minutes, resolutions etc.) for the Board and Board Committee meetings.
  • Maintain governance records
  • Support CHRO in preparation for annual audits and organization recertification's
  • Other tasks and projects as required in support of the leadership team
