Position Summary We are seeking an experienced and highly organized Executive Assistant & Office Operations Coordinator to provide proactive, high-touch support to our executive leadership team while serving as the heartbeat of our day-to-day office operations. This pivotal role blends executive administrative support, office management, and light HR coordination to ensure seamless operations and an exceptional experience for employees, candidates, and visitors alike. This role is ideal for someone who thrives in a dynamic, in-person environment, anticipates needs before they arise, and takes pride in being the go-to partner who keeps everything running smoothly.

Requirements

  • 5+ years of experience supporting senior executives, ideally in a fast-paced or growing organization.
  • Exceptional organizational skills with strong attention to detail, follow-through, and time management.
  • Confident, polished communicator who can effectively interact with executives, employees, and external partners.
  • Proficiency in Microsoft Office Suite, calendar management tools, and familiarity with HR or onboarding systems.
  • Possess a proactive, solutions-oriented mindset with the ability to anticipate needs and adapt to changing priorities.
  • Comfort and enthusiasm for working onsite five days per week as the central hub for executive support and office coordination.

Responsibilities

  • Provide proactive calendar management and administrative support to executive leaders, including scheduling complex meetings, coordinating travel, and managing expense reporting.
  • Act as a trusted partner to executives by anticipating needs, prioritizing requests, and ensuring leaders are prepared for internal and external engagements.
  • Serve as a primary point of contact for office operations, overseeing supplies, vendor relationship coordination, facility's needs, and overall workplace organization.
  • Ensure the office environment is welcoming, professional, and fully functional for employees and guests.
  • Coordinate in-office meetings and events and leadership gatherings that promote engagement and collaboration.
  • Partner with Human Resources to support employee onboarding, including greeting new hires on their first day, facilitating new-hire paperwork, and assisting with orientation sessions.
  • Help ensure new employees feel welcomed, supported, and set up for success from day one.
  • Maintain a high level of confidentiality and professionalism while handling sensitive information.
  • Identify opportunities to streamline processes, improve efficiency, and enhance the overall employee and office experience.
