About The Position

The Executive Assistant serves as a central point of contact for internal and external stakeholders, handling confidential information with professionalism and supporting the execution of projects that advance the resort’s marketing, revenue, and guest engagement goals.

Requirements

  • Minimum three (3) years of executive-level administrative experience is required, preferably in marketing, hospitality, or resort operations
  • Exceptional organizational, written, and verbal communication skills
  • Proficiency in Microsoft Office Suites and project management systems is required
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Professional demeanor and discretion when handling confidential information
  • Ability to work flexible hours, including occasional evenings or weekends during peak event periods
  • Ability to operate effectively in a fast-paced, event-driven environment
  • Excellent writing, editing, and verbal communication skills
  • Highly organized, detail-oriented, and able to manage multiple projects and deadlines in a fast-paced environment

Responsibilities

  • Provide executive-level administrative support to the Property Manager including calendar management, meeting coordination, and travel arrangements
  • Serve as a liaison between the Senior Director and internal departments, vendors, community partners, and executive leadership
  • Support the various teams with cross-department communication, scheduling, and administrative needs
  • Prepare presentations, reports, and departmental documentation for leadership meetings
  • Manage project tracking and timelines across departments, ensuring deadlines are met and deliverables are communicated
  • Process purchase orders, invoices, and budget documentation, maintaining accurate and organized financial records
  • Assist with correspondence, memorandums, and public-facing communications as needed
  • Coordinate logistics for department events, workshops, and team meetings
  • Maintain filing systems and shared drives for organized departmental records
  • Handle confidential information and sensitive materials with discretion
  • Support other administrative functions as directed by the Property Manager
  • Other duties as assigned
