We are seeking an Executive Assistant who brings professionalism, proactive problem‑solving, and exceptional organizational skills to support our Executive Team, Board of Directors, Advisory Groups, and Senior Leadership Team. This role strengthens CAPSA's mission by keeping leaders prepared, informed, and focused on high-impact work. What You'll Do: Operational Excellence & Leader Readiness Manage and optimize Executive calendars, anticipate needs, and sequence schedules so leaders stay prepared and aligned with priorities. Create and coordinate Executive meeting agendas, materials, communications, follow-up tasks, and logistics with accuracy and polish. Organize Executive email flow, coordinate outreach, and maintain clear communication channels. Board & Advisory Group Support Serve as the primary contact for the Board and Board Advisory Groups -managing calendars, preparing materials, producing documentation , tracking annual requirements, and supporting member onboarding. Cross-Functional Coordination Support meetings, retreats, licensing audits, and administrative projects across the Senior Leadership Team. Maintain internal sites and organized resource libraries for leadership and grant materials. Assist development staff with arranging tours and follow -ups, an d maintaining giving opportunity lists. Events, Projects & Problem-Solving Identify challenges early, communicate solutions, and keep operations moving smoothly. Support organization-wide appreciation efforts and internal communication tasks (e.g., monthly internal newsletter). Why CAPSA?
