About The Position

The Executive Assistant will work directly with C-level executives and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.

Requirements

  • Experience: 4+ years Administrative Assistant experience with an additional 2+ years of executive level support
  • Education: College degree preferred
  • Excellent written and verbal communication skills
  • Basic research and reporting skills
  • Extensive scheduling & calendaring experience within multiple calendars
  • Proficient in Microsoft Office (Office 365 / Outlook, Word, Excel)
  • Organized and detailed oriented
  • Able to manage multiple projects at once - assigning priority as needed
  • Travel Logistics with often complex international travel
  • Must be able to have a flexibility with the schedule to accommodate executive needs.
  • Able to work well and professionally with all levels of internal and external management

Responsibilities

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.
  • Maintains multiple executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and often complex travel.
  • Maintains executive's confidence and protects operations by keeping information confidential.
  • Prepares reports & presentations by collecting and analyzing information.
  • Provides basic technical support with executive's electronic devises.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions as needed.
  • Maintains executive office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Maintains patent database including scheduling of payment, filing of information and maintaining schedule of patent dates in conjunction with the legal team.
  • Coordinates video & audio conference calls
  • Manages executive events and meals as needed.
