About The Position

We’re seeking an Executive Assistant to support the administrative needs of our executive team. Responsibilities include, but are not limited to management of executives’ schedules and expense reports, set-up of weekly company-wide calls, and coordination of travel needs & logistics. The ideal candidate will be organized, with an attentiveness to detail, the ability to manage projects needs simultaneously and handling confidential information with discretion & professionalism. Requirements

  • 3-5 years of experience, administrative experience is preferred. Previous event planning experience is a plus
  • Attention to detail, with the ability to manage multiple projects simultaneously
  • Superb communication skills-both oral and written
  • Excellent organizational skills, with an attention to detail and the ability to manage multiple projects simultaneously
  • Proficiency in Microsoft Office Suite
  • Flexibility and willingness to travel domestically and work weekends or holidays as needed. Anticipated travel: Low (0-15%)

Responsibilities

  • Manage calendars for the executive and leadership team, including scheduling of appointments, meetings, and travel arrangements
  • Serve as a primary point of contact for the executive & leadership team, screening phone calls and emails, and responding to inquiries on their behalf
  • Conduct research and gather information to support c-suite executives in decision-making and problem-solving
  • Prepare and maintain documents, including reports and agendas for meetings and presentations
  • Handle administrative tasks, such as ordering office supplies, managing vendor relationships, preparing POs & invoices, and coordinating facility maintenance
