DEPARTMENT: Hospital Administration JOB TITLE: Executive Assistant SHIFT: 80 Hours Bi-Weekly, Day Shift BENEFTS: This is a full time, benefit eligible position. Summary/Objective Provides high-level administrative and executive support to members of Administration as assigned.

Requirements

Proficient in Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook and Microsoft Teams.
Excellent written and verbal communication skills.
5+ years of work experience in a responsible administrative or executive support role, preferred.
Confidentiality: Handle sensitive information with discretion and integrity.
Attention to Detail: Ensure accuracy in documentation, communications and data entry.
Organizational Skills: Manage multiple tasks and priorities efficiently.
Communication Skills: Clearly convey information and collaborate effectively.
Problem-Solving Abilities: Identify issues and implement timely solutions.
Time Management: Prioritize tasks to meet deadlines.
Adaptability: Adjust to changing priorities and handling unexpected tasks.
Bachelor’s degree in business, preferred.
Indiana licensed notary within 6 months of hire.

Responsibilities

Serve as a role model with professionalism and exceptional customer service.
Effectively prioritize work from multiple sources while meeting simultaneous deadlines.
Maintain strict confidentiality when handling sensitive information.
Demonstrate regular, reliable attendance.
(To Officers as assigned) Serve as personal and confidential assistant to assigned officers.
Manage calendars and schedule meetings.
Coordinate meeting logistics, including room reservations, technology setup and catering.
Prepare and distribute meeting agendas, minutes and supporting materials.
Attend designated meetings and take meeting minutes.
Assist with time-off requests and payroll approvals.
Complete expense reports and reconcile credit card statements.
Compete conference registrations and coordinate travel arrangements.
Create spreadsheets, reports, presentations and other documents as assigned.
(Other Responsibilities) Greet and welcome guests in a professional and courteous manner.
Schedule and maintain hospital conference room calendars.
Assist with maintaining the administrative supply cabinet, kitchenette and administrative conference room.
Facilitate cards and gifts on behalf of Administration.
Participate in workgroups and assist with organizational event planning as time permits.
