About The Position

The Executive Assistant will provide high-level administrative and personal support to the President and Owner of USG. This role requires exceptional organization, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will anticipate needs, handle details with accuracy and confidentiality, and help streamline both business and personal responsibilities. This position is based in Tampa, Florida and requires in-office presence five days a week to provide direct, hands-on support The Executive Assistant provides high-level administrative and operational support to the President and Owner of USG, ensuring smooth day-to-day operations and effective coordination across departments.

Requirements

  • 5+ years of executive assistant experience supporting senior leadership; experience supporting a business owner or C-suite executive preferred.
  • Highly organized, detail-oriented, and proactive with excellent follow-through.
  • Strong written and verbal communication skills.
  • Professional demeanor with a high level of integrity and discretion in handling confidential information.
  • Proficient in Microsoft Office Suite, Outlook, Teams, and other productivity tools.
  • Ability to multitask, prioritize, and adapt to shifting priorities in a dynamic environment.
  • Flexible and reliable with a positive, solutions-oriented attitude.

Responsibilities

  • Provide daily executive support to the President, including calendar management, scheduling, travel coordination, and meeting preparation.
  • Serve as a primary point of contact between the President and internal/external contacts, maintaining professionalism and confidentiality at all times.
  • Manage and prioritize incoming communications (email, phone, mail) and respond or delegate as appropriate.
  • Prepare correspondence, presentations, reports, and other materials as needed.
  • Assist with personal and household matters such as appointments, errands, and travel logistics.
  • Coordinate special projects, events, and company initiatives as directed.
  • Maintain organized filing systems (digital and physical) for both business and personal documents.
  • Ensure smooth day-to-day operations by anticipating needs and proactively solving problems.
