About The Position

The Long Beach Headquarters of our award-winning, multi-brand design firm is searching for an Executive Assistant to work with members of our Principal group. This position will be a main point of contact for communication, scheduling, travel, and expenses, answering phones and emails, event coordination, and general day-to-day organization for Principals and office events.

Requirements

  • 3+ years supporting multiple senior executives
  • Strong written and verbal communication skills and experience working with executives and clients
  • Ability to effectively multi-task and complete assignments in a timely manner
  • Superior organizational skills
  • Proficient in computer skills including Microsoft 365 programs, Outlook, and calendar management
  • Experience in travel coordination
  • Positive attitude and resourceful problem solver
  • Prompt and organized worker

Nice To Haves

  • Bachelor’s degree preferred

Responsibilities

  • Maintaining calendar for Principals as needed
  • Managing and scheduling appointments and meetings
  • Coordinating travel arrangements and expense reports
  • Creating and updating documentation as needed
  • Organizing files and programs appropriately
  • Prioritizing and responding to emails and completing tasks in a timely manner
  • Answering phone calls as needed
  • Working on ad hoc projects and event coordination as assigned
  • Maintaining comprehensive and accurate records and contacts
  • Providing in-office support for meetings and events
  • Performing general administrative support as needed
  • Providing coverage support for team members as needed including the front desk
