World Kinect is searching for an experienced, reliable and task-oriented Executive Assistant. The Executive Assistant will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.

Requirements

  • Minimum of 4+ years of experience as an Executive Assistant supporting C Suite level
  • Associates degree in Business or related field is preferred
  • High level proficiency in MS Office products, including but not limited to PowerPoint, Excel, Word and Outlook
  • Computer proficiency expertise will be utilized and applied in all “key”/primary responsibilities (listed above) of this position
  • Ability to become familiar with company-specific programs and software
  • Excellent oral and written communication skills
  • Strong organizational, project management and problem-solving skills
  • Proficiency in collaboration and delegation of duties
  • High regard for maintaining confidentiality
  • Exceptional interpersonal skills
  • Friendly and professional demeanour

Responsibilities

  • Coordinate executive communications, including calls, emails and interfacing with clients
  • Routing as appropriate incoming/out-going e-mail and other types of correspondence
  • Scheduling, organizing and coordinating meetings, travel arrangements and itineraries
  • Completing and submitting to accounting appropriate expense reports/documentation
  • Creating complex presentations through the use of PowerPoint or other office products, in support of executive meetings and presentations
  • Plan and execute small projects
  • Record and distribute minutes, decisions and actions from project meetings
  • Prepare project progress reports
  • Develop ad-hoc reports
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clients
