About The Position

The Executive Assistant serves as a strategic partner and operational extension—organizing the Co-CEO’s work, safeguarding his attention, and ensuring the right priorities reach his desk and the desks of the leadership team. This role exists to multiply the Co-CEO’s effectiveness across every function of the company. The Executive Assistant is expected to become deeply familiar with every area of Fibersmith’s operations—engineering, GIS, software, field operations, accounting, and business development—and to use that knowledge to shape how work moves through the executive office. This is a high-trust, high-discretion position. The right candidate brings exceptional organizational instincts, sound judgment, and the maturity to act when appropriate.

  • Learn fiber optic telecommunications from the ground up.
  • Genuinely curious about how the business works and motivated to become an expert in it.
  • High-level organizational and management skills.
  • Demonstrated ability to manage complex schedules, competing priorities, and multiple stakeholders simultaneously.
  • Proven track record of discretion with sensitive information.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Planner).
  • Willingness to travel occasionally with the CEO or on company business.
  • Must be able to work full-time on-site in Columbia, Missouri.

Responsibilities

  • Manage the CEO’s daily and weekly workflow—what he sees, when he sees it, and what genuinely requires his attention versus what can be handled elsewhere.
  • Prepare briefings and meeting materials.
  • Capture outcomes and action items from meetings; own the follow-through.
  • Maintain an organized, forward-looking view of the calendar, commitments, and priorities.
  • Assist in formulating strategies for keeping the right work in front of the Co-CEO and his subordinates.
  • Surface the issues and decisions that need Co-CEO’s attention; filter or redirect those that don’t.
  • Track progress on priorities and ensure they move forward between meetings, not just during them.
  • Identify gaps, bottlenecks, and dropped balls across the company—and either close them or escalate them.
  • Interface with leadership team members and managers on behalf of the Co-CEO to drive execution and follow-through.
  • Facilitate leadership meetings: prepare agendas, capture decisions, and track action items to completion.
  • Serve as a trusted point of contact for leadership and managers when the Co-CEO is not immediately available.
  • Draft and refine correspondence, internal communications, and executive messaging in the Co-CEO’s voice.
  • Represent the Co-CEO accurately and discreetly in meetings, calls, and written exchanges.
  • Maintain strict confidentiality across sensitive business, personnel, and strategic matters.
  • Build systems and processes that keep the executive office running smoothly as the company grows.
  • Identify opportunities to streamline how work flows to and from the Co-CEO.
  • Develop deep familiarity with Fibersmith’s services, clients, technologies, and people; use that context to improve the quality of decisions the Co-CEO makes.
