MultiTracks.com is seeking an experienced and dedicated C-Suite Executive Assistant to support one or more individuals on our Senior Leadership Team. This role is in Cedar Park, Texas and can be in-office or Hybrid. Requirements

• Bachelor's degree in Business Administration, Management, or related field, or equivalent experience.
• Proven experience as an executive assistant or personal assistant supporting C-level executives or a minimum of five years office experience
• Ability to coordinate projects and work independently
• Experience coordinating events, meetings, and special projects
• Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively
• Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels of the organization
• Expert-level proofreading and editing skills
• Proficiency in Microsoft Office Suite
• Demonstrated ability to exercise sound judgment and discretion when handling confidential information
• Flexibility to be on-call outside of regular office hours as-needed (minimal)
• Willingness and ability to learn new software and hardware as needed
• A can-do attitude with an aptitude for excellence

Nice To Haves

• Previous experience in SaaS industry
• Experience with MultiTracks.com products
• Experience in Jira
• Administrative or Project Management Certification

Responsibilities

• Manage complex calendars and schedule meetings
• Arrange travel logistics including flights, accommodations, ground transportation with itinerary and logistics details
• Balance various administrative tasks simultaneously while maintaining accuracy and attention to detail
• Event planning and support - will occasionally fall on a weekend or after hours
• Act as a liaison between the executive(s) and internal/external stakeholders, screening and prioritizing incoming communications, emails, and phone calls, and responding promptly and professionally
• Handle sensitive information with utmost discretion and confidentiality
• Anticipate the needs of C-Suite executive(s) and address challenges
• Implement solutions to ensure smooth operations
• Operate in a fast-paced, dynamic environment, often adjusting schedules, reorganizing priorities, and handling unexpected changes with composure and efficiency
• Find creative solutions and resolve logistical challenges through researching information and coordinating with team members
• Align support activities with the executives’ objectives and provide valuable insight when appropriate
• Prioritize tasks, manage deadlines and optimize the executives’ time
• Demonstrate tact, diplomacy and discretion in all interactions
• Collaborate effectively with other members of the executive team and administrative staff to ensure seamless operations and support across the organization
