We are seeking a skilled and experienced Executive Assistant to provide comprehensive support to high-level leaders within our global organization. The ideal candidate will be organized, proactive, and capable of managing a wide range of administrative tasks while maintaining a high degree of confidentiality and professionalism. This is a Hybrid role based in Fort Collins, CO. The schedule would be 4 onsite and 1 day remote. If you are interested in doing meaningful work, then this is the place for you!

Requirements

  • Bachelor’s degree preferred but not required.
  • 5-7 Years supporting VP-level executives in a global organization
  • Experience booking international travel and managing schedules across multiple time zones
  • Experience managing complex meeting logistics including preparing business reports and executive summaries
  • Excellent computer skills using Windows and MS Office, which includes Teams and Outlook (e-mail and calendar management), Excel, Word, and PowerPoint; experience using Windows PCs and iPhones preferred

Responsibilities

  • Calendar Management: Efficiently manage and coordinate complex schedules including prioritizing meetings (with internal and external parties) and time-sensitive discussions, calls, and appointments, while considering time zones and international travel.
  • Travel Coordination: Arrange international travel itineraries, including flights, accommodation, ground transportation, and registration, ensuring seamless travel logistics. This will also require the flexibility and agility to deal with unexpected travel updates if/when schedules change both before and during trips.
  • Expenses: Manage and process monthly expense reports for multiple leaders.
  • Communication Management: Handle and prioritize incoming and outgoing correspondence, emails, and phone calls, responding on behalf of executives when necessary, and maintaining an organized system for document management.
  • Meeting Support: Prepare and distribute agendas and materials for meetings attended by executives, along with external parties (as needed). Support the development of meeting materials, as required. Coordinate all logistics of meetings, including conference room reservations, teleconference & videoconference set-up, food ordering, and associated meeting logistics, including related social activities.
  • Document Preparation: Draft, proofread, and edit a variety of documents, presentations, and market reports, ensuring accuracy and adherence to organizational standards.
  • Confidentiality: Maintain the highest level of confidentiality and discretion when dealing with and handling sensitive information and discussions.
  • Stakeholder Liaison: Act as a key point of contact and liaison between executives and internal/external stakeholders.
  • Team Collaboration: Collaborate with other executive assistants and support staff to ensure efficient, consistent administrative support across the organization.
