About The Position

Pivotal Health is a leading technology platform that helps healthcare providers receive fair payment in a complex reimbursement landscape, addressing persistent underpayment from health insurance companies. They combine software, data, and service into an AI-driven platform to simplify complex reimbursement workflows, helping providers dispute underpaid claims, reduce administrative burden, and recover entitled reimbursement. The company is building solutions to enable providers to operate with clarity, control, and confidence across the reimbursement journey. The Executive Assistant role is a strategic partner to the Executive team, requiring a highly organized, proactive, and resourceful individual who thrives in ambiguity, anticipates needs, and brings structure to fast-moving environments. This person will be at the center of the action, enabling executives to stay focused, prepared, and operate at their highest level.

Requirements

  • 5–8+ years of experience supporting multiple executives in a fast-paced environment (startup or high-growth preferred)
  • Proven ability to manage competing priorities and stay organized under pressure
  • Exceptional communication skills (written and verbal)
  • High level of discretion and professionalism
  • Strong problem-solving mindset with a bias toward action
  • Comfortable with ambiguity and rapid change
  • Proficiency with tools like Google Workspace, Slack, Notion, etc.

Responsibilities

  • Manage complex calendars across multiple executives, prioritizing effectively and ensuring alignment with company goals
  • Coordinate internal and external meetings, including agendas, prep materials, and follow-ups
  • Act as a gatekeeper and strategic partner, protecting executive time while ensuring accessibility
  • Drive key operational workflows (e.g., meeting cadence, leadership rituals, offsites)
  • Track action items and ensure follow-through across executives and teams
  • Support cross-functional coordination and communication
  • Draft and manage internal and external communications on behalf of executives
  • Interface with board members, investors, partners, and senior stakeholders
  • Maintain confidentiality and professionalism in all interactions
  • Plan and manage detailed travel itineraries, often with shifting priorities
  • Coordinate team events, offsites, and executive-level meetings
  • Identify inefficiencies and proactively build systems to improve how executives operate
  • Bring structure and clarity to ambiguous or evolving processes
