About The Position

With 100+ locations and over 400 OB/GYNs and specialists across the country, Women’s Care provides comprehensive patient care in obstetrics, gynecology, gynecologic oncology, urogynecology, gynecologic pathology, breast surgery, genetic counseling, maternal fetal medicine, laboratory services, and fertility. The Executive Assistant is responsible for providing administrative support to the Chief Operating Officer and Chief People Officer. Coordinate and manage schedules, calendars, and other business needs of the COO and CPO. Research, compile data, create and edit high quality confidential documents such as letters, memos, reports, and presentations. Support HR and Operations special projects. Coordinate logistics for internal leadership and committee meetings including scheduling, drafting agendas, and creating meeting materials. Interact and communicate effectively in written and verbal form with executives and all levels of employees within the organization. Assist in managing logistics for annual physician summit. Prioritize various assigned tasks in a fast-paced environment. Responsible for adhering to all company policies and procedures while maintaining confidentiality. Maintain various spreadsheets and databases. Reconcile corporate credit card statements and monitor charges. Facilitates provider onboarding and offboarding. Demonstrate and embody the Women’s Care mission and core values. Compliance with all HIPAA rules, regulations, and guidelines. Other duties as assigned.

Requirements

  • Bachelor’s Degree or equivalent work experience preferred.
  • Minimum 5 years of corporate administrative support experience for senior executive leadership.
  • Strong verbal and written communication skills.
  • High proficiency with MS Outlook, calendaring, and MS Office.
  • Ability to exercise discretion and maintain strict confidentiality on all matters.
  • Excellent interpersonal skills with the ability to maintain cooperative working relationships – both within the company and with business associates outside the company.
  • Strong organizational and time management skills with the ability to multi-task and work autonomously or with a team.
  • Must be extremely detail-oriented and able to manage competing priorities in a fast-paced environment.
  • Must be a highly motivated individual with a high level of initiative and an attitude of willingness to work outside defined job responsibilities.
  • Must be team player willing to assist others at all levels of the organization.
  • Ability to communicate effectively on a one-on-one basis or in group setting.
  • Must be dependable, reliable, and punctual.
