Executive Assistant

NominalWashington, DC
Onsite

About The Position

As Executive Assistant to the Head of Federal, you will provide high-level administrative, strategic, and logistical support in a dynamic, fast-paced environment. We’re looking for a seasoned Executive Assistant to serve as the Head of Federal’s right hand and trusted partner — someone who can anticipate needs, manage sensitive information with discretion, and keep complex stakeholder workflows moving smoothly. This is a highly visible role with exposure across executive leadership, internal cross-functional teams (Revenue, Product, Legal, Security, Finance), and external partners across the federal ecosystem. You’ll be deeply embedded in the rhythm of the business and play a critical role in enabling the Head of Federal to operate at maximum leverage. You’ll serve not only as a logistics powerhouse but also as a strategic operator who can bring structure, follow-through, and calm to high-stakes, high-velocity work.

Requirements

  • 5+ years of experience supporting senior executives (VP/C-level), ideally in high-growth startups or similarly fast-paced environments.
  • Exceptional organizational skills: ability to manage multiple priorities and shifting plans with discretion and grace.
  • Strong judgment and business acumen, especially around sensitive and confidential matters.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Google Workspace, Slack, Notion, and modern calendar/email management tools.
  • High emotional intelligence and interpersonal skill; capable of representing executive leadership internally and externally.
  • Comfort operating in a regulated, high-stakes environment (government/defense experience is a plus but not required).
  • Willingness to be responsive outside typical business hours as needed; occasional travel may be required.
  • Excited to work in-person from our DC or NYC office 5 days/week (or aligned with the Head of Federal’s location expectations).

Responsibilities

  • Manage a highly dynamic calendar, prioritizing strategic time allocation across meetings, travel, deadlines, and focus time.
  • Own inbox triage and communications support, with increasing autonomy over time.
  • Arrange detailed domestic travel (and occasional international travel) including flights, accommodations, itineraries, and reservations.
  • Draft and edit correspondence, internal updates, and stakeholder-facing notes as needed.
  • Coordinate logistics for government customer meetings, industry partner meetings, and internal deal reviews — including room bookings, attendee management, agendas, and follow-ups.
  • Maintain a high bar for professionalism and discretion when interacting with federal stakeholders and mission partners.
  • Support preparation for meetings by gathering briefing materials (account context, prior notes, internal stakeholders, objectives).
  • Help manage a high-volume network of internal and external contacts (program offices, primes, integrators, partners, and internal execs).
  • Act as an extension of the Head of Federal: anticipate priorities, unblock bottlenecks, and maintain operating cadence.
  • Drive operational hygiene: track action items, follow-ups, deadlines, and ensure important threads close.
  • Support planning and coordination for key moments (onsites, field visits, customer workshops, executive briefings, conferences).
  • Plan and coordinate federal-focused travel and onsite schedules (including multi-stop itineraries, meeting sequences, and time-zone optimization).
  • Coordinate in-office visits for customers, partners, and stakeholders alongside Office Management/Workplace teams.
  • Collaborate with Facilities and IT to ensure seamless in-person meetings and secure visitor experiences.
  • Take ownership of special projects (professional and light personal), ensuring high-quality execution and reliable follow-through.
