We are looking for an Executive Assistant to support the Vice President of Frame.io. At Adobe, our mission is to empower everyone to create. Requirements

  • BA/BS degree or minimum of 10 administrative or operational experience
  • Demonstrated project management skills
  • Has strong interpersonal skills and develops positive relationships across the organization. Models empathy and care in every interaction, reinforcing a culture where people feel respected
  • Excellent communication skills (written and verbal). Ability to interact with all levels of internal and external contacts with diplomacy and professionalism

  • High comfort working in ambiguity
  • Ability to prioritize and accomplish tasks with minimal direction

  • Proven mastery of MS Office applications including Outlook, Word, PowerPoint, SharePoint and Excel

  • Ability to work outside of standard hours as needed, especially to support events

Responsibilities

  • Represent Adobe, the VP, and the Frame team with professionalism and warmth, building the brand through thoughtful communication, timely follow-through, and sound judgment.
  • Own and thoughtfully manage complex calendars across time zones, proactively prioritizing time to align with business goals, team health, and leader effectiveness.
  • Act as a strategic gatekeeper for leaders’ time, anticipating conflicts, surfacing tradeoffs, and ensuring focus on the highest-impact work
  • Bring structure and rhythm to leaders’ schedules, including preparation and follow-ups
  • Partner closely with the Chief of Staff/Business Operations team on a variety of initiatives including budgeting and headcount planning
  • Create purchase requisitions and work with the finance department to project expenses
  • Have a strong interest in understanding Frame’s business and priorities. Use business sense to decipher priorities and make sound judgment calls when needed.
  • Partner closely across teams to coordinate special projects including team off-sites, all hands meetings, major international trade shows (NAB and IBC), and more
  • Book travel arrangements, domestic & international
  • Be responsive to key external and internal partners, with contact outside normal business hours for time-sensitive situations
  • Be a culture carrier. Bring a positive, proactive, and can-do attitude. Be calm under pressure and easy to work with. Help cultivate a culture of kindness, humor, and fun.
  • Proactively find and execute on opportunities to streamline efforts and improve processes
  • Maintain organization distribution lists and charts and own basic updating to critical systems of record
  • Prepare, submit, and track expense reports
  • Coordinate assistance with office space and equipment
  • Use a high degree of discretion in the handling and maintenance of confidential/sensitive information
