About The Position

We are seeking a highly organised and trusted Executive / Business Assistant to provide critical support to senior leaders within a fast-paced, professional environment. This role sits at the heart of the business, combining executive support with hands-on operational coordination to ensure leaders and teams can operate effectively. Based in Phoenix, Arizona, this role requires on-site presence two days per week to support in-person collaboration, client meetings, and team activity. It is well suited to someone looking for a stable, long-term assistant role with exposure to senior leadership and opportunities for growth.

Requirements

  • Experience in a professional, corporate environment, ideally as an Executive, Business, or Team Assistant
  • Strong organisational skills with excellent attention to detail
  • Confidence managing senior leaders’ time and competing priorities
  • A high level of confidentiality, professionalism, and discretion
  • Strong technical capability with Outlook, PowerPoint, Microsoft Teams, and expense systems
  • Ability to work independently while being a collaborative team player
  • Comfort working in a fast-paced environment with changing priorities

Responsibilities

  • Provide day-to-day executive and business support, including calendar management, travel coordination, and expense processing
  • Proactively manage inboxes, priorities, and scheduling conflicts
  • Prepare meeting materials, take notes, and handle sensitive information with discretion
  • Coordinate team and client meetings, including room bookings, catering, and logistics
  • Provide operational support to the wider team, including onboarding support and basic governance activities
  • Support monthly KPI tracking and data collection
  • Build effective working relationships with senior stakeholders and Executive Assistants
  • Identify and support process improvements to increase efficiency
