About The Position

We are seeking a highly reliable and relationship-oriented Executive Assistant to serve as the operational right hand to the advisor/owner and a steady point of continuity for the practice. This role blends executive support, client engagement, and office coordination and is ideal for someone who takes pride in being dependable, service-minded, and disciplined in follow-through. You will help ensure that work moves forward consistently while creating a calm, professional, and welcoming environment for clients and team members. The right person combines warmth with accountability — someone who builds trust easily yet is comfortable following up firmly when deadlines or responsibilities slip.

Requirements

  • 2–5+ years of experience in executive assistant, client service, office management, or similar roles
  • Demonstrated ability to manage competing priorities independently
  • Comfortable with outbound communication and relationship-building

Nice To Haves

  • Bachelor’s degree preferred
  • CRM experience strongly preferred

Responsibilities

  • Manage advisor email, calendar, and scheduling with thoughtful prioritization
  • Prepare meetings and materials on time and ensure readiness
  • Track action items and follow up until completion
  • Anticipate needs and maintain organization during shifting priorities
  • Protect focus time while maintaining responsiveness
  • Respond promptly and warmly to client and prospect inquiries
  • Conduct outbound calls and follow-up with confidence and professionalism
  • Build rapport while maintaining structure and clarity
  • Maintain accurate CRM documentation
  • Serve as a consistent, steady point of contact for clients
  • Execute email campaigns and assist with social media posting
  • Update website content and prepare presentation materials as needed
  • Coordinate COI meetings, event invitations, and related follow-up
  • Greet clients and create a welcoming, polished office environment
  • Answer phones and coordinate meeting logistics
  • Manage office administration
