Ferguson is currently seeking the right individual to fill an immediate need for an Executive Assistant, supporting Vice President level roles. This role requires a flexible mentality supporting a multifaceted organization. You will be handling multiple tasks and priorities, with accuracy, flexibility, and timeliness. This person must exhibit strong client service in an environment that is fast-paced, including last-minute changes. This role will comfortably take the lead on providing outstanding, administrative leadership and operational support to the leaders both directly and indirectly. Additionally, the Executive Assistant must demonstrate a dedication to protecting confidential information and sensitive materials. The ability to balance multiple priorities, make decisions independently, be detail oriented, and prioritize work, requests, and engagements for the leaders is a requirement. Location: Hybrid schedule with 3 days in the office and occasional full week depending on in office needs of Executive team. Ferguson's corporate offices are in City Center of Newport News, VA.

Requirements

  • Proven experience (5+ years) in a professional role, including Executive Assistant experience or the skill sets and business acumen to excel in administrative work at the executive level.
  • A minimum of High School Diploma but a bachelor’s degree is helpful.
  • Proficient in Microsoft applications, such as Outlook, Word, Excel, PowerPoint, TEAMS, One Drive and ability to learn new systems quickly, as needed.
  • Ability to write Executive level documents, memos and presentations with strong attention to detail and a professional level of written and verbal communications skills.
  • Balancing priorities from multiple sources with ability to prioritize work to meet deadlines effectively.
  • This position requires strong interpersonal skills to interact with various levels of management, the ability to build strong working relationships with groups as well as work independently.
  • Must be an organized self-starter showing good judgment and the flexibility to adapt to priority changes and demands.
  • Demonstrate logical thinking and computational skills.

Responsibilities

  • Provide quality support by anticipating needs and taking action to optimally handle daily responsibilities (e.g. calendar scheduling, administration, expense reports and travel planning) and be a creative problem solver.
  • Participate as an active administrative team member, working both independently and in partnership with team members to complete projects and assignments in a timely manner.
  • Assist with the planning of key meetings (e.g. agenda preparation, logistics, meals, guest arrangements, Teams for on-site and off-site events, etc.)
  • Prepares presentations and reports as requested to include PowerPoint, Excel and Word documents.
  • Assists with managing projects for the team, including managing timelines and coordinating cascade of information/initiatives, and communications channels (email, Teams, meetings, etc.).
  • Gathers and consolidates departmental information and data where needed, reporting back as required.
  • May attend department meetings to ensure knowledge of full aspect of task.
  • Maintains and orders Assets - computers, monitors, phones.
  • Cooperates and coordinates with other administrative/executive assistants in the scope of daily work and ensures office support is available when away from the office.
  • Maintain confidentiality of critical information.
  • Other duties as assigned by management.
