Executive Assistant

CMI Media Group
13d$50 - $90

About The Position

In today's dynamic business landscape, the Executive Assistant is the strategic linchpin that enables executive leadership to thrive. At CMI Media Group / Compas, we are seeking a highly skilled and proactive Executive Assistant to serve as a trusted partner to one of our C-level executives. This is not a traditional administrative role. You will be the executive's right hand, a strategic force multiplier who anticipates needs, optimizes workflows, and creates the capacity for our leadership to focus on driving business success. You will be responsible for ensuring seamless operations, managing complex priorities, and contributing directly to the executive's efficiency and work-life balance. If you are a resourceful, forward-thinking professional who thrives in a fast-paced environment, we invite you to apply.

Requirements

  • High School diploma or equivalent required; Bachelor's degree preferred.
  • Experience as an Executive Assistant supporting senior-level (C-Suite or EVP) executives.
  • Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with expense management (e.g., Concur), travel booking, and project management software.
  • Ability to work flexible hours as needed to support executive schedules.
  • Ability to travel occasionally for meetings and company events.

Responsibilities

  • Providing Strategic Oversight: Act as the gatekeeper and operational hub for the executive, managing the flow of information and prioritizing day-to-day activities to align with strategic goals.
  • Driving Process Optimization: Leverage traditional and AI-powered tools to enhance efficiency in scheduling, email management, document organization, and workflow automation.
  • Managing Complex Logistics: Flawlessly coordinate complex calendars, global travel arrangements (flights, hotels, ground transport), and meeting logistics.
  • Acting as a Communication Liaison: Serve as a primary point of contact for high-level internal and external stakeholders, drafting, reviewing, and sending communications on behalf of the executive with utmost professionalism.
  • Leading Meeting Coordination: Organize and prepare for key meetings, including agenda creation, document preparation, and detailed note-taking to ensure productive outcomes.
  • Handling Special Projects: Take ownership of special projects as needed, conducting research, compiling information, and preparing high-impact presentations and reports.
  • Managing Information & Expenses: Maintain impeccably organized records and files for easy access to critical information and prepare and submit timely expense reports.
