About The Position

This role is a critical support position responsible for providing high-level administrative and organizational assistance to executives and senior leadership. The individual will manage complex scheduling, confidential documentation, travel logistics, and reporting functions while ensuring seamless operations across departments. With a strong focus on accuracy, discretion, and efficiency, the incumbent serves as a key liaison between internal teams and external stakeholders, playing a vital role in enabling executive productivity and organizational success. The position requires a detail-oriented professional with proven experience in executive support, confidential record management, and advanced administrative systems.

Requirements

  • High School Diploma or GED; associate’s or bachelor’s degree in Business Administration, Office Management, or related field is highly recommended.
  • 2–4 years of progressive administrative experience supporting executives, senior leaders, or board-level functions.
  • Proven experience working in a confidential, high-pressure environment with a professional and discreet demeanor.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) with demonstrated skill in document creation, data management, and presentation design.
  • Experience with Workday or similar HR/payroll/expense systems is preferred.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet tight deadlines.
  • Exceptional attention to detail and accuracy in all deliverables.
  • Ability to work independently, take initiative, and adapt to evolving demands in a fast-paced environment.
  • Demonstrated ability to manage multiple priorities with minimal supervision and remain available as needed.
  • Experience supporting board of directors or executive committees is a strong advantage.

Responsibilities

  • Manage executive calendars and coordinate appointments, meetings, and travel arrangements, including air, hotel, and ground transportation.
  • Prepare, code, and submit expense reports and other financial documentation via Workday in a timely and accurate manner.
  • Develop and deliver professional presentation materials and reports for board meetings, executive reviews, and strategic initiatives.
  • Maintain confidential files, statistical records, and sensitive correspondence with strict adherence to data security protocols.
  • Serve as the primary point of contact for internal and external stakeholders at the Mt. Laurel, New Jersey office location.
  • Oversee office operations including supply ordering, inventory management, and mail distribution.
  • Coordinate board meeting logistics, including agenda preparation, documentation, and follow-up actions.
  • Respond to and route incoming emails and phone inquiries, escalating as appropriate.
  • Prepare special reports, summaries, and ad-hoc analyses as needed by leadership.
  • Perform additional administrative duties and special projects as assigned, adapting quickly to changing priorities.
