About The Position

Thank you for considering Progyny! Progyny is seeking a skilled, high energy, and highly motivated individual to provide executive support to Progyny’s Leadership team. We are looking for someone who can look at things with a broad perspective and anticipate needs before being asked. You should be comfortable working in a dynamic environment, taking initiative, delivering quality work and being accurate. You should possess excellent follow-up skills and be able to interact with multiple constituencies including C-suite executives, outside organizations, and varied businesses. You will need to work independently and exercise good judgment when prioritizing across multiple tasks. You should have a professional demeanor and stay calm when multi-tasking.

Requirements

  • 4+ years of administrative experience supporting multiple executives including the C-Suite level
  • Excellent proficiency in Microsoft Outlook; pride in maintaining an exemplary executive calendar; strong skills in Excel, Word and PowerPoint.
  • Technologically savvy - familiar with digital apps and online resources
  • Highly organized and detail-oriented. Demonstrated ability to track and handle multiple priorities simultaneously, with a mindset of nothing slipping through the cracks despite frequent interruptions.
  • Ability to take initiative and anticipate needs by thinking a week, month and quarter ahead, rather than a day or two.
  • Demonstrated ability to make accurate and timely administrative judgments, while remaining professional under pressure.
  • Knows when to make decisions themselves and when to "escalate"
  • Exemplary interpersonal skills and ability to collaborate effectively with staff of diverse backgrounds, functions, and levels of the organization
  • Please note: This is not a digital nomad or remote international position; candidates must be based in the United States.

Responsibilities

  • Schedule meetings and maintain all elements of the calendar for our Chief Growth & Strategy Officer and executive team
  • Liaise between the Executive and other Departments and Teams
  • Maintain a regular open line of communication (via email, text/SMS, telephone, face-to-face conversations) with the executives to jointly manage calendaring, meetings and all other priorities
  • Coordinate domestic travel arrangements and prepare itineraries
  • Manage monthly expense reports on behalf of executives with accuracy and in a timely manner
  • Order daily lunch for executive team
  • Assist executives with printing, scanning, mailing and any ad hoc needs that arise
