About The Position

The Executive Assistant to the Senior Minister provides high-level, proactive administrative, organizational, and relational support to ensure the effective leadership and ministry of the Senior Minister. This role requires someone who can anticipate needs, think strategically, and function as an extension of the Senior Minister’s leadership and ministry. Serving as a trusted partner and key liaison between the Senior Minister, church staff, officers, committees, members, and outside guests, this individual manages complex schedules, communications, and sensitive information with the highest degree of professionalism, discretion, and initiative.The position requires utmost discretion with sensitive pastoral, personnel, and confidential information. The ideal candidate is a spiritually mature, highly organized self-starter who thrives on managing details, anticipating needs, and creating order in a fast-paced ministry environment. This individual demonstrates exceptional executive functioning, strong communication skills, and the ability to work independently while embodying the mission and values of First Presbyterian Church.

  • Proficiency in Microsoft Office Suite, Adobe Pro, and ability to learn new systems (e.g., Planning Center).
  • Strong writing, editing, and communication skills.
  • Demonstrated judgment, independence, and teamwork in a fast-paced environment.
  • Committed follower of Jesus Christ; active local church member.
  • Spiritually mature, humble, and servant-hearted.
  • Dedicated to prayer, personal spiritual growth, and the mission of First Presbyterian Church.

Responsibilities

  • Manage and prioritize the Senior Minister’s calendar, meetings, and correspondence to ensure his schedule reflects his strategic priorities and ministry commitments.
  • Coordinate with church staff and committees to align schedules and major events.
  • Prepare and edit official documents, letters, and communications.
  • Oversee travel logistics, reimbursements, and credit card reconciliations
  • Maintain organized filing and financial records for the Senior Minister’s office.
  • Handle invitations, RSVPs, and guest hospitality.
  • Serve as liaison between the Senior Minister and worship staff regarding sermon schedules, guest preachers, and service participants.
  • Coordinate assisting schedules and ensure worship participants are informed.
  • Coordinate details for special worship services (funerals, weddings, convocation, seasonal services).
  • Prepare or assist with bulletins and maintain Ruling Elder evening prayer schedules.
  • Schedule and support the Pastor's Advisory Committee and related meetings.
  • Lead planning and logistics for Twin Lakes Fellowship and other major church or ministerial events.
  • Manage event budgets, registration, and hospitality for speakers and guests.
  • Oversee staff and officer gatherings, retreats, and General Assembly travel coordination.
  • Supervise and delegate tasks to interns and volunteers assisting with events.
  • Draft and distribute official correspondence (visitor and grief letters, certificates, etc.).
  • Manage departmental budgets and expenditures.
  • Maintain data and event entries in Planning Center.
  • Support communication flow, develop office systems, and assist with general administrative needs.
