Overview: We are seeking a highly organized, proactive, and career-driven Executive Assistant to provide exceptional support to two Executive Vice Presidents. This role goes beyond traditional administrative duties – it’s about being a trusted partner who helps streamline operations, manage priorities, and ensure the leaders you support can focus on strategic initiatives. What You’ll Do: Calendar & Email Management: Act as a gatekeeper for executive calendars and inboxes. Prioritize meetings, flag urgent emails, and ensure smooth scheduling. Travel & Expense Coordination: Arrange domestic travel and handle expense reporting with accuracy and timeliness. Project & Event Support: Coordinate town halls, volunteer events, and special projects—including logistics, communications, and vendor coordination. Occasionally assist with local marketing events, such as providing on-site support for client gatherings (e.g., holiday parties) to ensure smooth execution. Executive Support: Prepare presentations, meeting agendas, and correspondence. Occasionally respond or send communications on behalf of executives. Team Engagement: Help executives stay connected with their teams by tracking birthdays, work anniversaries, and other milestones. Operational Assistance: Manage access requests, time-off tracking, and other administrative processes. Daily Collaboration: Partner closely with executives to review upcoming priorities, meetings, and deliverables.
