About The Position

The Executive Assistant will provide seamless assistance to a small team of senior investment professionals in a fast-paced and dynamic environment. Operating on a day-to-day basis much like a traditional PE firm, the team at Bessemer Investors is actively investing and overseeing a growing portfolio of companies. This exceptional opportunity includes heavy calendar management, frequent/dynamic travel arranging, and the regular utilization of technology/systems. Among other traits, the ideal candidate will have outstanding attention to detail, operates with a sense of urgency, and is very comfortable multi-tasking.

Requirements

  • Bachelors Degree required
  • 3+ years of Executive/Administrative Assistant experience directly supporting a senior executive and/or small team within a private or public sector firm/ organization. Experience in asset management (e.g., private equity, hedge funds) supporting an investment team preferred
  • Proven ability to work well in and contribute to a team environment
  • Excellent organization and communication skills with an emphasis on active listening
  • Shows tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation
  • Demonstrates ability to prioritize, anticipate needs, and manage multiple assignments in a fast-paced, dynamic environment to meet deadlines with efficiency and accuracy
  • Has excellent attention to detail and executes responsibilities with a sense of urgency and follow-through

Responsibilities

  • Effective calendar management
  • Manage frequent and complex travel arrangements for team members
  • Optimum screening of incoming communications and routing for action and follow-up
  • Successfully communicate with both internal and external contacts including significant executive relationships
  • Well-proofed standard correspondence and maintenance of certain administrative files
  • Manage expense reports in Concur
  • Establish effective working relationships with colleagues and external contacts
  • Manage database (DealCloud) of contacts and interactions with intermediaries, executives, lenders and co-investors
  • Assist with general day-to-day management of the office (order/manage supplies, etc.)
  • Additional responsibilities, including preparing desktop research on topics pertinent to the investment activities of the firm, to be determined based on the aptitude of the candidate
  • Additional responsibilities (to be determined based on the aptitude of the candidate) may include analyzing pricing/volume trends of team travel, maintaining BI’s website in coordination with outside vendor, and preparing desktop research on topics pertinent to the investment activities of the firm
  • Plan events such as the BI holiday party, dinners with portfolio company executives, team lunches/happy hours, and team offsites
