Job Details Hybrid position/minimum 3 days per week in office Summary: We are seeking a proactive and dynamic Executive Assistant to provide comprehensive administrative support to executives at Cencora. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and possess a strong ability to manage confidential information with discretion.

Requirements

  • Requires broad training in fields such as business administration, accountancy, sales, marketing, computer sciences or similar vocations generally obtained through completion of a two-year Associate's Degree Program or equivalent combination of experience and education
  • Normally requires a minimum of four (4) years directly related experience
  • Proven experience as an executive assistant or in a similar role, preferably in a corporate setting
  • Strong proficiency in office software (e.g., Microsoft Office Suite) and communication platforms
  • Exceptional organizational skills with the ability to prioritize tasks and manage time effectively
  • Excellent written and verbal communication skills
  • Discretion and confidentiality in handling sensitive information
  • Ability to work independently and as part of a team in a fast-paced environment
  • Adaptability to changing priorities and the ability to take initiative
  • Ability to communicate effectively both orally and in writing

  • Strong understanding of various systems used to support the DC Operations and Primary Duties listed above such as SAP, PkMS, Kronos, Workday, Qlickview, Metastorm, and Labor Managemetn, etc.
  • Ability to implement processes resulting in satisfactory audit practices

Responsibilities

  • Confidential Administrative Support: Provide high-level administrative assistance, ensuring the effective functioning of the executive's office
  • Calendar and Meeting Coordination: Maintain and optimize executive calendars, schedule appointments, and organize meetings, including logistics and preparation of materials
  • Travel Coordination: Organize and manage all domestic and international travel arrangements, including flights, accommodations, and itineraries, ensuring seamless travel experience for the executive
  • Project Assistance: Support various departmental projects, providing coordination and follow-up as needed
  • Invoice & Expense Management: Submit and track invoices for payment, ensuring accuracy and compliance with company policies while maintaining clear records of financial transactions
  • Document Management: Draft, edit, and proofread correspondence, reports, and presentations for internal and external stakeholders, ensuring clarity and professionalism
  • Information and Data Management: Compile and analyze information from various sources to generate insightful reports and presentations, utilizing advanced software tools
  • Office Operations: Maintain efficient office operations by managing supplies, filing systems, and technology resources, ensuring a well-organized workspace
  • Interdepartmental Collaboration: Act as a liaison between departments, facilitating communication and resolving operational issues to enhance workflow efficiency
  • Relationship Management: Foster positive relationships with colleagues and management, promoting a collaborative and respectful work environment
  • Policy Compliance: Uphold company policies, procedures, and safety regulations, demonstrating a commitment to ethical practices
  • Continuous Improvement: Stay abreast of industry trends and best practices in administrative support, proactively seeking ways to enhance efficiency and effectiveness
