About The Position

We’re looking for a highly organized and proactive Executive Assistant (EA) to support our North American executive leadership team. This is a high-impact role that combines administrative excellence, operational coordination, and strategic partnership — helping ensure our leaders are focused, prepared, and operating efficiently across a fast-moving, global business.

Requirements

  • 5+ years of experience supporting senior executives in a global or fast-paced technology, SaaS, or logistics environment.
  • Strong organizational, time management, and problem-solving skills.
  • Exceptional attention to detail and follow-through.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft 365, Teams, and other collaboration tools (e.g., Concur, Zoom, Slack).
  • Ability to manage multiple priorities across time zones and stakeholders.

Responsibilities

  • Provide daily administrative and logistical support to the North American executive team, including the Chief Customer Officer, Chief Product Officer, and other senior leaders.
  • Manage complex and dynamic calendars across multiple time zones (North America, ANZ, and Manila).
  • Coordinate travel arrangements, expense management, and itineraries for executive and customer-facing engagements.
  • Prepare meeting agendas, take notes, and track follow-up actions for leadership and cross-functional meetings.
  • Support preparation for internal and external meetings — including Board and customer presentations — by gathering materials, aligning stakeholders, and ensuring deliverables are ready on time.
  • Partner with global executive assistants and the office operations team to ensure smooth coordination of meetings, site visits, and events across regions.
  • Maintain confidentiality and discretion in handling sensitive business information.
  • Draft and manage executive correspondence, announcements, and internal communications on behalf of the leadership team.
  • Act as a first point of contact and liaison between executives and internal/external stakeholders.
  • Support cross-functional initiatives that drive communication, alignment, and delivery within the North American leadership group.
  • Assist in coordinating regional leadership offsites, customer visits, and major operational or cultural initiatives.
  • Track progress on key priorities and help ensure accountability on follow-ups.
  • Contribute to the continuous improvement of executive operations and administrative processes.
