About The Position

The Executive Assistant & Office Manager serves as a strategic partner to two senior leaders while also supporting the operational efficiencies of the New York office. The role combines executive-level administrative support with ownership of workplace operations and cross functional alignment. To be successful, the Executive Assistant & Office Manager is expected to actively learn the business to help anticipate needs and prioritize effectively. It is also expected to work cooperatively and collaboratively with the other Executive Assistants in other office regions to support each other, and coordinate calendars and events with the other Principals in the firm as needed.

Requirements

  • Minimum of 5+ years of executive support experience (Financial Services industry a plus)
  • Excellent interpersonal and communication skills
  • Excellent work ethic, judgment, discretion and ability to prioritize
  • Strong initiative to accomplish tasks, meet deadlines, and take an active interest in projects
  • Ability to function effectively while under pressure in a fast paced and evolving environment
  • Ability to juggle many tasks at once, and quickly shift gears and re-prioritize as needed
  • Superior follow through, and organizational and task management skills
  • Superior response time to heavy email communications
  • Highly detail oriented
  • Strong team player
  • Strong customer service orientation
  • Proficient in MS Office Suite and Salesforce
  • Positive, pro-active, can-do attitude

Responsibilities

  • Manage complex calendars in MS Outlook and prioritize competing demands
  • Effectively schedule internal and external client meetings (both in person and via Zoom or MS Teams) using excellent judgment and urgency
  • Update and manage client information in salesforce, and provide forward looking calendars to Principals to ensure they have the materials from the team for each meeting.
  • Coordinate and manage travel itineraries
  • Develop familiarity with the clients and advisors the Principals work with.
  • Take an active interest in the Principal’s activities and be anticipatory and proactive with deliverables
  • Oversee daily office operations and vendor relationships
  • Manage all issues related to office upkeep and work with building management to resolve any issues in the offices)
  • Provide executive level hospitality
  • Work closely with the People & Culture team to support office events
  • Oversee office kitchen inventory and daily set up
  • Replenish paper in copy machines
  • Ensure that office environment is consistently organized, professional, and client-ready
  • Manage miscellaneous special projects
  • Manage sorting and distribution of mail
