About The Position

Sage recently announced our Series C, and the pace and complexity of what we're building has never been greater. Our leadership team is navigating an exciting but demanding moment—more stakeholders, more commitments, and more decisions happening faster than ever before. This role exists at the center of that energy. As the Executive Assistant at Sage, you'll serve as a strategic operational partner to some of our Co-Founders, enabling them to work with greater focus, efficiency, and impact. You'll own their schedules, communications, and logistics end-to-end—bringing order to a fast-moving, constantly evolving environment where priorities can shift in an instant. This is a hands-on, high-trust role for someone who doesn't just tolerate that kind of pace, but genuinely thrives in it. The ideal candidate is a calm, proactive, low-ego operator who brings impeccable judgment, strong communication skills, and a genuine love for making people feel supported and valued. You're someone who has seen this kind of moment before—a company hitting its stride, moving fast, growing quickly—and you know exactly what it takes to keep leadership performing at their best when everything is accelerating at once. This role reports to the Head of People and requires working at our Union Square office every Tuesday–Thursday.

Requirements

  • 4+ years as an Executive Assistant, ideally supporting C-suite or senior leaders in high-velocity, high-touch, high-stakes environments such as investor relations, investment banking or personal assistance for public figures.
  • Exceptional calendar and time management skills, with a track record of managing complex, shifting schedules across multiple executives—proactively resolving conflicts and always thinking a few steps ahead.
  • Strong prioritization instincts. You understand what's urgent, what's important, and what can wait—and you make those calls confidently and independently.
  • Executive-level written and verbal communication skills. You draft correspondence that is clear, professional, and on-brand, and can communicate on behalf of senior leaders with polish and precision.
  • Discretion and sound judgment. You handle sensitive information about people, strategy, and business operations with the utmost professionalism.
  • Warmth and positivity. You make every person you interact with—whether a team member, candidate, or visitor—feel welcomed and valued.

Responsibilities

  • Support some of our Co-founders: Provide comprehensive, proactive administrative support to both executives, anticipating their needs and enabling them to focus on strategic priorities and company growth.
  • Manage complex calendars: Assist with scheduling, prioritizing, and organizing meetings and commitments, proactively resolving conflicts and ensuring efficient time management for both professional and personal matters.
  • Travel Management: Arrange seamless domestic and international travel, including logistics, itineraries, and real-time problem-solving.
  • Stakeholder Management & Communications: Serve as the primary point of contact for internal and external stakeholders, managing all executive communications including drafting correspondence, screening inquiries, and prioritizing responses.
  • Manage urgent and high-priority requests in real time. When high-priority demands land without warning—a last-minute meeting request, a critical travel change, an unexpected gap or conflict— you triage quickly, communicate clearly, and resolve with minimal disruption to executive workflow.
  • Manage projects: Assist with special projects as assigned, which may include research, event support, or other administrative tasks.
  • Collaborate with Recruiting: Partner with the Recruiting team to schedule interviews with the co-founders, coordinating candidate availability, interview logistics, and ensuring a positive candidate experience. This may also include managing candidate communications on behalf of the executives.
  • Maintain confidentiality: Handle sensitive and confidential information with discretion and professionalism at all times.
  • Values-Driven Communication: Serve as a cultural ambassador when communicating with stakeholders, embodying company values that inspire trust, respect, and teamwork.
