We are seeking a highly organized, proactive, and adaptable Executive Assistant to provide comprehensive administrative support to our Engineering Product Line Leaders. Reporting directly to the Sr. Director of Engineering, you will be the organizational force that keeps our leadership team running smoothly. You will handle complex scheduling, coordinate intricate travel arrangements, and manage day-to-day administrative operations with high efficiency and strict confidentiality. Key Responsibilities Complex Calendar Management: Act as the gatekeeper for multiple Business Line Leaders' calendars. Strategically schedule internal and external meetings, resolve conflicts, and ensure their time is prioritized effectively. Travel Coordination: Plan and manage comprehensive domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries. Provide proactive solutions for travel disruptions. Meeting & Event Support: Organize executive and team meetings, including booking rooms, arranging catering, setting up audio/visual equipment, drafting agendas, and taking actionable minutes. Communication Management: Screen and prioritize incoming emails, phone calls, and mail. Draft, review, and send communications on behalf of the leaders when necessary. Administrative Operations: Process expense reports, manage invoices, reconcile corporate credit cards, and maintain organized digital filing systems. Ad-Hoc Projects: Assist the Sr. Director of Engineering and Business Line Leaders with special projects, presentations, and reports as needed, anticipating requirements before they arise. Qualifications Experience: [3-5+] years of experience as an Executive Assistant, ideally supporting multiple business leaders or executives simultaneously. Tech Savvy: Highly proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Microsoft Teams, and Zoom. Organization: Exceptional time-management skills with the ability to juggle multiple competing priorities in a fast-paced environment without letting details slip. Communication: Stellar written and verbal communication skills. Professionalism: High level of discretion and judgment when handling sensitive and confidential information. Problem Solver: A proactive mindset with a knack for anticipating bottlenecks and finding solutions independently.
