About The Position

Private Medical has spent the last 20 years creating a new category of concierge medicine — private medicine — by designing a system that honors the relationship between patients, physicians, and each member of the care team. Based in California, New York, and Florida, our physician-led teams work in concert with our Gynecologists, Naturopathic Medicine Doctors, curated local specialists, elite medical centers, and specialists around the world, to provide relationship focused, evidence-based, longitudinal care to our members and their families. Private Medical is, by design, privately held and free from any conflicts of interests. This person will be responsible for managing a complex business calendar, meeting and agenda preparations, and special projects. The ideal candidate will have the ability to exercise good judgment in a variety of situations, have strong written and verbal communication, administrative, and organizational skills, and have the ability to maintain a realistic balance among multiple priorities. Ideally, we want someone who can think ahead to optimize a fast-paced executive. This role requires a high level of adaptability, critical reading, attention to detail and the ability to remain grounded in a fast-paced dynamic environment with frequent changes in priorities.

Requirements

  • Bachelors degree
  • Minimum of 7+ years of experience as an Executive Assistant reporting directly to the C level Staff
  • Familiarity with Salesforce
  • Positive and proactive attitude
  • Able to work in fast paced, multi-taking environment
  • The ability to manage a very active travel schedule
  • Tech savvy & systems oriented
  • Must be organized, solutions-oriented, and able to manage numerous projects simultaneously
  • Must have meticulous attention to detail
  • Must be able to communicate clearly, succinctly, and effectively, in both speaking and writing

Responsibilities

  • Serve as the gatekeeper and right-hand to the Founder/Managing Partner
  • Develop systems and procedures for workflow and expansion
  • Partner with Founder's clinical support team to manage and strategically prioritize a dynamic calendar
  • Keep a pulse on the Founder's priorities and follow up on pressing action items
  • Partner with executive support to align managing partner meetings and priorities.
  • Organize, administer, and take minutes for managing partner meetings. Gather follow up action items and identify who is accountable for next steps.
  • Partner with Founder to create and maintain an organized system
  • Develop systems and procedures to improve the managing partner’s workflow and uphold a strict level of confidentiality and discretion
