About The Position

The Executive Assistant provides high-level administrative support to the CEO and executive team, ensuring efficient operations and seamless communication. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will serve as the primary point of contact for internal and external stakeholders, while also managing schedules, communications, and special projects.

Requirements

  • 5+ years of experience as an Executive Assistant or in a senior administrative role, ideally supporting a CEO or C-level executive.
  • Exceptional organizational and time management skills, with the ability to prioritize competing demands.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Zoom, Slack, etc.).
  • High level of professionalism, discretion, and judgment.
  • Ability to anticipate needs and act proactively.
  • Flexible, adaptable, and comfortable working in a fast-paced, dynamic environment.

Responsibilities

  • Manage and prioritize the CEO’s calendar, meetings, and travel arrangements.
  • Serve as the primary point of contact for the CEO, handling communications with internal and external stakeholders.
  • Prepare agendas, presentations, briefing materials, and follow-up notes for the CEO’s meetings.
  • Anticipate and proactively address the CEO’s needs to ensure preparedness for meetings, deadlines, and commitments.
  • Draft, review, and edit correspondence and communications on behalf of the CEO.
  • Coordinate board meetings and materials, ensuring accuracy and confidentiality.
  • Track key initiatives, deliverables, and deadlines, providing reminders and progress updates to the CEO.
  • Maintain strict confidentiality in handling sensitive information.
  • Provide occasional support to other members of the executive team as time permits.
  • Perform other duties as assigned to facilitate the CEO’s effectiveness and the organization’s success.
