About The Position

Mosaic is a mission-driven, whole-person healthcare organization. This Executive Assistant role is unique because it provides dual support to both the Chief People Officer and the Chief Advancement Officer while operating within a larger team of Executive Assistants. The position focuses on high-level "stewardship" of executive time and organizational culture: Strategic Time Management: Proactively identifying frictions and conducting "look-ahead" reviews of weeks and months to ensure the executive has all necessary briefing materials and context. Logistics & Wellness: Orchestrating complex travel itineraries designed to maintain executive productivity and wellness. High-Stakes Communication: Acting as an ambassador by mirroring the professional tone of the executives and synthesizing complex information into executive-level summaries for board meetings. Gatekeeping with EQ: Managing access to leaders with a "balance of warmth and firmness," ensuring all stakeholders (from donors to frontline staff) feel valued. Event & Financial Management: Managing the "end-to-end experience" of summits and speaking engagements, alongside managing expenses, vendor relationships, and budget reconciliation.

Requirements

  • Minimum of 4 years in an administrative capacity
  • Previous experience supporting senior-level leaders
  • Associate's Degree or equivalent experience
  • High emotional intelligence and a "fluid" approach to shift priorities
