The Executive Assistant plays a critical role in supporting AREA15's executive team by ensuring seamless day-to-day operations, managing priorities, and maintaining a high level of organization and discretion. This role requires a proactive, detail-oriented professional who thrives in a fast-paced environment and is comfortable managing multiple priorities while supporting senior leadership. This position also oversees the coordination and execution of executive meetings, including logistics, catering, and on-site support, ensuring a polished and professional experience at all times. This position requires 100% on-site work at the Las Vegas campus.

Requirements

  • Applicants must be 21 years of age or older
  • Proof of eligibility to work in the United States
  • Comfortable working in a creative, entrepreneurial start-up environment, introducing new concepts and innovations.
  • Minium 4 years experience as an Executive Assistant supporting senior leadership is required.
  • Proven ability to handle confidential information with discretion and sound judgment
  • Excellent organizational and time management skills, with the ability to manage competing priorities
  • Strong verbal and written communication skills
  • Experience coordinating meetings and events, including managing catering orders, vendor communication and on-site setup and breakdown
  • Strong judgment in selecting catering vendors and managing food service logistics in a professional environment
  • Highly adaptable with the ability to operate effectively in a fast-paced, dynamic setting
  • Must have strong attention to detail and problem-solving skills
  • Ability to understand, speak, read, and write the English language.
  • Computer skills in Microsoft applications. (Excel, Outlook, Word, etc.)
  • Availability for varied shifts, including evenings, weekends, and holidays.
  • Ability to work in an environment subject to varying levels of noise, crowds, flashing lights, and smoke.
  • Ability to work in all weather conditions including but not limited to extreme heat, sun exposure, wind, rain, extreme cold.

Nice To Haves

  • Experience supporting C-level or senior executive leadership within entertainment or hospitability environments is highly preferred.
  • Candidates who are a commissioned public notary and can notarize documents as needed are highly preferred.
  • Familiarity with project management tools such as Monday.com is a plus.
  • Exposure to analytics, reporting, or business operations support is a plus.

Responsibilities

  • Provide high-level administrative support to the executive team, ensuring efficiency, organization and alignment across daily operations and priorities.
  • Manage complex executive calendars, including scheduling, prioritization and coordination of meetings across internal and external stakeholders.
  • Coordinate and execute all travel logistics with precision, ensuring seamless and well-organized itineraries.
  • Serve as a primary point of contact for executive communications, maintaining professionalism, responsiveness and clarity in all interactions.
  • Plan and coordinate executive meetings end-to-end, including scheduling, room setup, logistics and overall execution.
  • Manage meeting logistics, including sourcing, ordering and coordinating catering from high-quality vendors, ensuring a polished and professional experience.
  • Oversee on-site meeting execution, including setup, presentation readiness and post-meeting breakdown to maintain organized and functional spaces.
  • Prepare meeting agendas, briefing materials, and presentations to ensure executives are well-informed and prepared.
  • Attend meetings as needed, document key takeaways, and track follow-up items to ensure timely execution.
  • Handle highly sensitive and confidential information with discretion and sound judgment.
  • Anticipate executive needs and proactively address scheduling, logistical and administrative challenges.
  • Support coordination across departments, helping ensure alignment on timelines, deliverables, and priorities.
  • Assist with reporting, presentations and data organization to support executive-level decision-making.
  • Identify opportunities to improve processes, organization, and overall efficiency within executive operations.
  • Operate effectively in a fast-paced environment, managing multiple priorities with a high level of accuracy and attention to detail.
  • Respond to time sensitive matters.
  • Demonstrate ART! (AREA15's service standards) in every guest interaction.
  • Adhere to department and company policies and procedures.
  • Maintain a professional, polished appearance in line with AREA15 standards.
  • Work various shifts, including nights, weekends, and holidays.
  • Perform other work-related duties as assigned.
