Requirements

  • 6+ years of advanced administrative support experience working with senior-level executives
  • Resiliency with the ability to navigate competing priorities and deliverables
  • Demonstrated experience applying analytical thinking, and organizational skills in a fast-paced work environment.
  • Proven project management skills, including event planning and coordination, with the ability to manage multiple projects simultaneously.
  • Exceptional verbal and written communication skills, with the ability to collaborate effectively across all levels of the organization.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams, and Copilot) and other digital collaboration tools.
  • Demonstrated experience in leveraging automation and AI technologies to enhance efficiency and quality of administrative support.
  • Experience with executive travel management.

Responsibilities

  • Maximizes leadership impact.
  • Provides high-level administrative support to a C-Suite executive, handling details of a highly confidential and critical nature and relieving the President of daily coordination and administrative responsibilities.
  • Realizes project outcomes.
  • Serves as a project manager, providing leadership and for special projects and strategic initiatives that often require cross-functional coordination.
  • Ensures meaningful connections.
  • Coordinates activities between departments and external parties/stakeholders.
  • Plans and executes all aspects of leadership team on- and off-site events. (i.e., logistics, room setup, required materials, refreshment needs)
  • Crafts engaging communications.
  • Assists the President in effectively communicating inside and outside the organization.
  • Identifies tools, venues, forums and content that actively engages the audience and achieves desired outcomes.
  • Optimizes scheduling and productivity.
  • Proactively and skillfully maintains and manages the President’s calendar to optimize time and efficiency in alignment with business goals and strategic priorities.
  • Ensures meeting cadence, content and logistics maximize efficiency and effectiveness.
  • Maintains agendas, identifies action items and monitors deliverables.
  • Leverages automation, AI and digital tools to streamline operations and executive support.
  • Creates impactful materials.
  • Prepares and edits correspondence, presentations, and reports for executive-level meetings
  • Manages travel itinerary and experience.
  • Coordinates all travel arrangements (including international travel) in a timely and cost-effective manner following policy guidelines.
  • Guides others to ensure success.
  • Serves as a mentor for administrative professionals in the organization, creating an engaging administrative professional network and community.
  • Participates in leader onboarding for instruction on systems and processes
  • Manages expense reports and ensures reporting compliance.
