About The Position

We are seeking an experienced Executive Assistant to provide high-level administrative support to a senior executive and select leadership team members within an Engineering & Construction environment. This role is primarily focused on calendar management, travel coordination, and expense administration, while also serving as a trusted partner to executive leadership. The ideal candidate is polished, highly organized, and confident engaging with executives—someone who can communicate effectively, manage competing priorities, and push back when necessary to keep schedules and logistics running smoothly.

Requirements

  • 7+ years of experience supporting senior executives
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • Experience working with global teams across multiple time zones
  • Highly organized with strong attention to detail and follow-through
  • Ability to manage multiple priorities with minimal supervision
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential information
  • Proven ability to interact confidently with executive-level stakeholders

Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel
  • Coordinate domestic and international travel arrangements, including itineraries, visas, and passports as required
  • Prepare and submit expense reports; manage corporate credit cards and travel profiles
  • Act as a point of contact between executives and internal stakeholders
  • Draft, format, and distribute professional communications (emails, meeting notes, presentations, and correspondence)
  • Record, transcribe, and distribute meeting notes and action items as needed
  • Coordinate meetings and logistics, including agendas, attendees, room setup, and A/V requirements
  • Send meeting invitations and manage attendance tracking
  • Maintain contact lists, distribution lists, and key documentation
  • Provide administrative support to direct reports as needed (calendar, travel, expenses)
  • Support general office operations, including supplies coordination and seating plans
  • Assist with planning team meetings, leadership offsites, and team-building events
  • Coordinate with administrative counterparts across departments and locations
  • Proactively manage complex calendars across multiple time zones
  • Schedule meetings with attention to location, participants, catering, and logistics
  • Maintain up-to-date travel profiles and employee information
  • Ensure smooth execution of travel plans and troubleshoot issues as they arise
