Requirements

  • Bachelor's degree or equivalent experience preferred.
  • Minimum of 5 years of experience supporting senior executives, ideally in a sales or financial services environment.
  • Exceptional organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with CRM tools.
  • Ability to manage multiple priorities, work independently, and adapt in a fast-paced environment.
  • Professional demeanor and strong interpersonal skills.
  • Experience handling confidential and sensitive information with discretion.

Nice To Haves

  • Four or more years' experience as an administrative assistant or executive assistant.
  • High School Diploma or equivalent.
  • Knowledge of mortgage lending or financial services industry.
  • Experience supporting senior sales leadership.
  • Strong problem-solving and decision-making skills.
  • Ability to work collaboratively across departments and with external stakeholders.

Responsibilities

  • Manage and optimize the SVP's calendar, scheduling meetings, travel, and appointments efficiently.
  • Coordinate internal and external communications on behalf of the SVP, ensuring timely and professional responses.
  • Prepare, review, and edit correspondence, presentations, reports, and other documents.
  • Organize and support meetings, including preparing agendas, materials, and follow-up actions.
  • Serve as a liaison between the SVP, executive leadership, clients, and internal teams.
  • Assist with departmental project management, tracking progress, deadlines, and deliverables.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Facilitate event planning, special projects, and departmental initiatives as assigned.
  • Anticipate the needs of the SVP and proactively address potential issues before they arise.
