Your role As an Executive Assistant at Global Relay, you will play a key role in supporting our commercial leadership team, with a dual focus on the EVP of Americas Sales and the Head of Global Presales. This position is pivotal in keeping operations running smoothly and ensuring that two of our most critical functions — Sales and Presales — operate with focus, efficiency, and impact. You will manage a variety of administrative, scheduling, logistical, and operational tasks while serving as a trusted partner to senior leadership. Your work will directly contribute to business goals and strategy, helping executives drive Global Relay’s continued growth.

Requirements

  • Minimum of 2 years’ proven experience in an administrative or executive assistant role (experience in B2B environment strongly preferred)
  • Experience supporting senior management and C-suite executives
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint); experience with Salesforce or CRM tools is an asset
  • Strong written and verbal communication skills with exceptional attention to detail
  • Highly organized with excellent time management, able to manage multiple competing priorities
  • Proactive, adaptable, and thrive in a fast-paced, high-growth environment
  • Comfortable working independently as well as collaboratively across teams and functions
  • Strong problem-solving skills, critical thinking, and professional demeanor

Nice To Haves

  • experience with Salesforce or CRM tools is an asset

Responsibilities

  • Handle essential day-to-day administrative tasks, including organizing files, managing invoices, expenses, and communications
  • Act as a liaison between senior executives (including C-suite, directors, and VPs) and staff members, ensuring effective flow of communication and requests
  • Maintain confidentiality and discretion in handling sensitive information
  • Manage complex calendars, resolve conflicting priorities, and optimize executives’ time management
  • Coordinate domestic and international travel logistics, including flights, accommodations, and documentation
  • Organize and prepare agendas for meetings, record minutes, track action items, and follow through on deliverables
  • Partner closely with Finance, Marketing, Sales, and other teams to ensure smooth operations
  • Support preparation of executive-level presentations, reports, and documents that are professional, compelling, and aligned with company goals
  • Conduct research, analyze data, and prepare summaries and insights to aid executive decision-making
  • Assist in planning and executing key events such as customer briefings, sales kickoffs, and marketing initiatives
  • Take on project management responsibilities for specific initiatives across Sales and Presales
