About The Position

The Signorelli Company (TSC) is a vertically integrated, diversified real estate development company based in The Woodlands, Texas. Established in 1994, TSC has extensive experience across all aspects of real estate development that comprise master planned communities, including land, office, retail, entertainment, medical, outdoor hospitality, multifamily, homebuilding, and build-for-rent. TSC is one of the largest privately held development companies in the State of Texas, with a growing footprint across all four quadrants of the greater Houston area. The Executive Assistant for the Commercial Development division provides high-level administrative, operational, and organizational support to senior leadership within the Commercial Development team. This role is critical to maximizing executive efficiency, supporting project coordination, managing complex schedules, and facilitating communication with internal and external stakeholders.

Requirements

  • Five (5) or more years of experience as an Executive Assistant or Administrative Assistant supporting senior leadership
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Adobe Acrobat Professional
  • Exceptional organizational and time management skills with the ability to manage multiple priorities and deadlines
  • Strong written and verbal communication skills with attention to detail
  • Professional demeanor with a high level of discretion and ethical standards
  • Ability to work independently, anticipate needs, and take initiative
  • Strong interpersonal skills with the ability to build effective working relationships across teams and with external partners
  • Comfortable interfacing with senior executives, internal teams, and external vendors
  • Ability to share best practices and contribute to continuous improvement of administrative processes

Responsibilities

  • Manage senior commercial development leaders’ calendars in Outlook, including scheduling meetings, conferences, teleconferences, and coordinating limited travel
  • Coordinate complex meetings involving internal teams, partners, consultants, brokers, municipalities, and external stakeholders
  • Prepare agendas, notices, presentations, and meeting materials; document and distribute meeting notes as needed
  • Develop and maintain tracking systems, reports, and organizational tools for executive and departmental use
  • Upload, organize, and maintain documents within authorized document management systems, ensuring accuracy and accessibility
  • Screen incoming calls, emails, and correspondence; respond independently when appropriate and route items requiring executive attention
  • Prepare and organize materials related to leasing activity, tenant negotiations, and development approvals
  • Draft correspondence, reports, and internal documents; proofread materials for accuracy and professionalism
  • Assist with preparation and reconciliation of expense reports, including company credit card statements
  • Coordinate travel logistics and itineraries; compile meeting materials for travel-related engagements
  • Maintain confidentiality of sensitive business, financial, and development-related information
  • Support due diligence activities by organizing documents, reviewing contracts for completeness, and coordinating with internal teams
  • Conduct research on market trends, commercial development topics, and industry data; prepare ad hoc summary reports for leadership
  • Welcome guests and external partners in person or via phone, ensuring a professional and positive experience
  • Ensure availability and proper functioning of technology tools, including audio/video conferencing equipment
  • Maintain office supply inventory and place orders as needed
  • Respond to time-sensitive communications outside of normal business hours when required
  • Attend meetings as requested and provide administrative follow-up support
  • Perform additional projects and duties as assigned in support of the Commercial Development team
