About The Position

We are seeking a highly organized and proactive Executive Assistant to support our CEO and Executive Team while helping ensure the smooth operation of our Little Rock office. This role is ideal for someone who can manage competing priorities with professionalism, anticipate needs, and operate with a high level of discretion. As a key partner to executive leadership, the Executive Assistant will play an important role in keeping schedules, communications, and day-to-day operations running efficiently. This position offers the opportunity to contribute to both administrative excellence and broader organizational effectiveness. General Summary: The Executive Assistant provides essential administrative support and coordination of activities for the CEO of Ritter Communications, and as requested for the Ritter Communications Executive Team, as well as acts as overall office administrator for the Ritter Communications regional office in Little Rock, AR.  The Executive Assistant supports the overall business by serving as a point of contact for a variety of operational and logistical office functions. This role is accountable for routine administrative duties such as, scheduling, reporting, presentations, expense tracking, and the management of highly confidential information and materials. Overall, the Executive Assistant is vital in helping the organization maintain an organized and effective business environment while supporting strategic initiatives at the executive level.

Requirements

  • Knowledge of Company policies, procedures, products, and services
  • Excellent written and verbal communication skills
  • Proficiency in various software including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Skill in planning and organizing meetings and travel agendas
  • Ability to communicate and interact with coworkers and external business contacts in a professional and courteous manner
  • Ability to work independently with little direction
  • Ability to organize, prioritize and handle multiple assignments simultaneously and to maintain high levels of confidentiality when dealing with executive information
  • Ability to analyze data with close attention to detail and make sound decisions with the available information
  • Ability to travel for business requirements; must possess a valid Driver’s License with a satisfactory driving record
  • High School Diploma or equivalent required with a bachelor’s degree in business administration or related field preferred, plus at least five years of executive administrative experience preferred
  • This position requires the individual to work onsite Monday through Friday, therefore hybrid work options are not available

Responsibilities

  • Performs a variety of administrative duties for the CEO and Executive Team, such as generating and distributing correspondence, reconciling expense reports, arranging travel plans, etc.
  • Plans, schedules, and coordinates on-site and off-site meetings, strategic planning sessions, and other important company events
  • Assists Executive Team with civic duties and commitments involving various chambers of commerce, charitable boards, special events and other activities
  • Serves as primary liaison for the Ritter Communications Little Rock office facility and coordinates general office functions such as greeting guests, coordinating lunch and refreshments for working meetings, distributing mail, coordinating with Facilities staff regarding any issues, ordering office supplies and other miscellaneous items
  • Travels to customer sites, project areas, business related events, and other Ritter Communications locations as required
  • Performs all other related duties as assigned by the Chief Executive Officer
