About The Position

The Executive Assistant provides high-level administrative support to a variety of stakeholders by expertly managing calendars, coordinating meetings and events, arranging catering, and ensuring strict adherence to established processes and policies. This role requires strong organizational skills, exceptional attention to detail, and the ability to work both independently and collaboratively in a fast-paced, dynamic environment.

Requirements

  • 2–6 years of professional administrative experience, ideally supporting stakeholders within manufacturing and/or semiconductor environments.
  • Proven experience in calendar management and complex scheduling.
  • Strong administrative support experience, including clerical work, data entry, and general office administration.
  • Proficiency with Microsoft Office, including Outlook and PowerPoint.
  • Experience providing executive or high-level administrative support.
  • Ability to read and interpret data, information, and documents accurately.
  • Strong customer focus with a commitment to quality, efficiency, and professionalism.
  • Exceptional attention to detail and a high degree of accuracy in all work.
  • Ability to perform effectively in a demanding environment with changing workloads and deadlines.
  • Results-driven mindset with a strong sense of ownership and accountability.
  • Ability to identify bottlenecks in processes and drive improvements.
  • Capability to work both independently and as part of a team with minimal supervision.
  • Clear, concise, and professional communication skills, both written and verbal.

Responsibilities

  • Manage complex calendars, including scheduling, rescheduling, and prioritizing meetings for multiple stakeholders.
  • Coordinate meeting logistics such as booking rooms, arranging audio-visual needs, and ensuring all materials are prepared in advance.
  • Organize and place catering orders for meetings and events, ensuring accuracy and timeliness.
  • Adhere strictly to established processes, procedures, and policies while completing all administrative tasks.
  • Provide comprehensive administrative support, including clerical tasks, data entry, document preparation, and record maintenance.
  • Prepare, format, and edit documents and presentations using Microsoft Office applications, including PowerPoint.
  • Support travel arrangements as needed, including coordinating itineraries and related logistics.
  • Maintain a strong customer-service focus, responding promptly and professionally to stakeholder needs and inquiries.
  • Monitor workloads, identify bottlenecks in administrative processes, and proactively drive improvements.
  • Ensure all assignments are completed with a high degree of accuracy, thoroughness, and attention to detail.
  • Communicate openly, clearly, and professionally with managers, co-workers, and customers in both written and verbal formats.
  • Establish and maintain cooperative working relationships with internal and external partners.
  • Work independently with minimal supervision while following through on tasks and commitments.
  • Adapt to changing workloads, deadlines, and priorities in a demanding environment.
  • Follow a strict set of procedures and complete tasks within specified timelines.
  • Occasionally move around the campus to support meetings, events, or other business needs.
  • Handle light physical tasks as required, such as lifting or moving items up to 20 pounds in support of office operations.
