We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support three senior leaders. This role requires someone who thrives in a fast-paced environment, can manage competing priorities with discretion, and operates with a high level of professionalism and ownership. You will need to be based in the U.S., ideally New York City, and available during Eastern Standard Time (EST) business hours.

Requirements

  • 5+ years of experience supporting senior leaders (preferably multiple executives)
  • Strong calendar management experience in a high-growth or fast-paced environment
  • Exceptional written and verbal communication skills
  • Highly organized with strong attention to detail
  • Proactive problem-solver with the ability to anticipate needs
  • Proficiency in Google Workspace and/or Microsoft Office Suite
  • Experience with expense management and travel booking systems
  • Ability to manage competing priorities with minimal direction
  • Strong time management and organizational skills
  • Emotional intelligence and relationship-building ability
  • Adaptability and comfort with ambiguity
  • Professionalism and executive presence
  • Must be based in New York
  • Ability to occasionally flex schedule to accommodate executive needs

Nice To Haves

  • Experience supporting C-level or VP-level executives strongly preferred

Responsibilities

  • Manage complex calendars across three executives, including scheduling internal and external meetings across time zones
  • Prioritize and coordinate shifting requests with sound judgment
  • Prepare meeting agendas, briefing documents, and follow-up materials
  • Track action items and ensure timely completion
  • Serve as a liaison between executives and internal/external stakeholders
  • Draft, edit, and manage professional communications on behalf of leaders
  • Coordinate leadership meetings, off sites, and strategic planning sessions
  • Support cross-functional communication and alignment
  • Process expense reports and invoices accurately and on time
  • Coordinate travel arrangements (domestic and international as needed)
  • Maintain organized documentation and filing systems
  • Assist with special projects and leadership initiatives
  • Handle sensitive information with the highest level of confidentiality
  • Exercise sound judgment in decision-making and issue escalation
