About The Position

We are seeking a highly organized and proactive Executive Administrative Assistant to support the Head of Commercial Operations and ensure seamless day-to-day operations. In this role, you will manage inquiries, draft and resolve communications, and handle confidential matters with the utmost professionalism. You will oversee scheduling, calls, and emails, coordinate travel arrangements and expense reporting and organize meetings and events, including senior leadership sessions and community initiatives. This position requires exceptional attention to detail, strong organizational skills, and the ability to work independently under pressure. You will also perform other duties as needed to help support Commercial Operations goals and initiatives.

Requirements

  • 3+ years administrative support experience of a senior executive required – 2+ years minimum (calendar management, email, travel, expense reports, etc.)
  • Demonstrated 3+ years of utilizing strong written and verbal communication skills within a sophisticated environment while maintaining high confidentiality and being relied upon for accuracy and trustworthiness.
  • Competent in Systems knowledge with 3+ years’ experience in MS Office; SharePoint & Teams required (or similar software)
  • Demonstrate attention to detail, action-oriented focus, effective time management and exception organizational skills required.
  • Demonstrate the ability to work independently and as part of a team.

Responsibilities

  • Coordinate travel arrangements and process expense reports accurately and on time.
  • Manage emails and calls while delivering clear, professional communications to ensure consistent messaging.
  • Maintain strict confidentiality and exercise the highest level of professionalism when handling sensitive information.
  • Organize internal and external meetings, conference calls, and community engagement / volunteer events.
  • Prepare and distribute agendas, participate in meetings, document notes and action items, and follow up diligently.
  • Provide support to team members as needed to meet business objectives.
  • Communicate effectively across all levels and cultures within the organization, demonstrating strong interpersonal skills when collaborating with clients and vendors.
  • Prepare relevant documentation as needed.
  • Perform additional duties as needed to support Commercial Operations goals and initiatives.
