Requirements

  • 5+ years of experience as an Executive Assistant, Administrative Business Partner, or in a comparable executive support role
  • Adept at working in a fast-paced environment while remaining flexible, proactive, and resourceful; ability to handle ambiguity and remain calm under pressure
  • Strong capacity for building and maintaining effective relationships across all levels, and proven ability to collaborate effectively with diverse, cross-functional teams; demonstrates a high level of integrity and acts as a positive influence
  • Demonstrated a high level of professionalism in managing external partnerships and handling sensitive or confidential information with utmost discretion
  • Exceptional organizational and analytical skills, including the ability to streamline executive workflows and utilize data to inform decision-making
  • Ability to anticipate needs proactively, manage ambiguity, and thrive in fast-paced environments
  • Demonstrated commitment to quality execution with meticulous attention to detail and excellent organizational skills
  • Excellent prioritization, time-management, and problem-solving skills, ability to anticipate needs and effectively multitask
  • Exceptional communication and presentation skills, both written and verbal
  • Tech savvy with high proficiency in Google Workspace; adept at navigating new software applications quickly
  • Ability to work onsite up to five days a week when required, and comfortable working outside traditional business hours when needed

Responsibilities

  • Provide project and administrative support to the CEO and Leadership Team; understand priorities and help drive strategic planning and project execution
  • Manage the planning and execution of leadership, board, and other key company meetings and events, ensuring alignment and efficient use of time and resources; execute logistics including scheduling, agenda development, capturing and tracking meeting notes and action items, and setup; ensuring effective communication and follow-through
  • Manage and support the seamless execution of cross-functional projects and initiatives
  • Work with key stakeholders to manage and execute business operations processes, including but not limited to diligence requests, corporate insurance, contract management, and other processes and programs as required
  • Develop and implement systems and processes to improve operational workflows utilizing company tools and technologies
  • Manage administrative needs for the CEO and Leadership Team, including but not limited to creating, preparing and editing correspondence, presentations, and other documentation, managing calendars, scheduling meetings, administering expense reports, and arranging travel, while ensuring effective prioritization
  • Assist with other projects and administrative support needs as assigned
