About The Position

Bancroft is seeking a highly skilled Executive Assistant to provide advanced, high-level administrative support to the President and executive leadership team. This role requires the ability to operate with little to no direction, using broad knowledge, sound judgment, and a high degree of professionalism. The Executive Assistant works independently, proactively managing priorities, anticipating needs, and determining the most effective approach to accomplishing work objectives. This position plays a critical role in identifying, following through on, and resolving a wide range of issues. Responsibilities include coordinating and managing both large-scale and smaller events, initiatives, and programs on a routine basis, while supporting the efficiency and effectiveness of the executive team. Bancroft is a leading service-provider for children and adults with autism, other intellectual or developmental disabilities, and those in need of neurological rehabilitation. We provide a full continuum of highly effective services, including special education schools, vocational training, day and residential programs, both on-campus and in the community, and in-home and outpatient rehabilitation services. Requirements

  • High school diploma or equivalent required; bachelor’s degree preferred.
  • Minimum of seven (7) years of progressively responsible administrative experience required
  • Strong written and verbal communication skills with the ability to interact effectively across all levels of the organization
  • Excellent interpersonal skills, including professionalism, discretion, tact, diplomacy, and sound judgment
  • Proven ability to work independently, prioritize competing demands, and manage multiple tasks in a fast-paced environment
  • Demonstrated problem-solving skills with the ability to anticipate needs and take proactive action
  • High level of organizational and time-management skills with strong attention to detail
  • Proficiency with standard office equipment and technology
  • Advanced computer skills with an emphasis on Google Workspace, Microsoft Word, PowerPoint, Excel, and related data management tools
  • Strong typing, recordkeeping, and document management skills
  • Ability to responsibly delegate work, monitor progress, and provide guidance, leadership, and training to others as appropriate

Nice To Haves

  • Three (3) or more years of experience providing direct support to an executive or executive leadership team strongly preferred

Responsibilities

  • Provide advanced administrative support to the President and Executive Team, including screening and responding to phone and email inquiries on their behalf
  • Draft, proofread, and edit a wide range of documents, from routine correspondence to highly complex and confidential materials
  • Manage, maintain, and safeguard sensitive and confidential files, records, and communications
  • Independently open, distribute, prioritize, and proactively respond to or redirect incoming communications
  • Maintain and manage calendars for the President and Board of Trustees, proactively scheduling meetings and appointments
  • Prepare executives for meetings by coordinating presentations, handouts, background materials, and logistics
  • Plan and coordinate preparations for Board and Board Committee meetings, President’s Council/SVP, Executive Team, and leadership meetings, including agendas, invitations, materials, and meeting logistics
  • Arrange and manage complex domestic travel and meeting logistics for executive leadership
  • Record accurate meeting minutes and distribute approved minutes as appropriate
  • Support relationship management efforts for the President and Executive Team in collaboration with the Development team and other internal partners
  • Keep executives informed of routine and non-routine matters requiring timely attention, exercising sound judgment and discretion
  • Respond to routine and complex inquiries independently, escalating sensitive or high-level issues as appropriate
  • Anticipate information needs and proactively compile, prepare, and disseminate materials to support executive decision-making
  • Serve as a liaison on behalf of executive leadership with internal departments, external partners, and stakeholders
  • Represent and speak on behalf of executive leadership across a variety of organizational matters as appropriate
