The Impact of an Executive Assistant at Coupa: We are seeking an experienced Executive Assistant with 4-5 years of proven expertise in supporting multiple Senior Vice President (SVP) level executives. The successful candidate will be adept at managing complex calendars, arranging extensive travel, coordinating high-level meetings, and handling confidential information with discretion and professionalism. This role requires exceptional organizational abilities, strong communication skills, and the ability to thrive in a fast-paced environment. This role will report to the Executive Business Partner to the CFO.

Requirements

  • Bachelor’s degree or equivalent experience preferred
  • 4–5 years of experience supporting multiple SVP-level executives as an Executive Assistant
  • Strong calendar and travel management skills with exceptional attention to detail
  • Excellent written and verbal communication skills, with professionalism across all organizational levels
  • Highly organized, adaptable, and able to prioritize effectively in fast-paced environments while maintaining confidentiality
  • Proficient in Microsoft Office Suite and capable of independent work, problem-solving, and occasional U.S. travel

Responsibilities

  • Manage complex calendars for multiple SVP-level executives, including scheduling and coordinating meetings and events
  • Coordinate executive travel, including accommodations, transportation, and meals, ensuring cost-effectiveness and policy compliance
  • Prepare and organize materials for meetings, presentations, and conferences
  • Serve as a primary point of contact for internal and external stakeholders, facilitating clear and timely communication
  • Plan and execute logistics for onsite and offsite meetings, events, and conferences
  • Provide administrative support, handle confidential information, and assist with special projects as needed
