About The Position

The Executive Assistant will assist executive staff of Red Cedar Investment Management (RCIM) in a wide variety of administrative and executive support tasks which may be highly confidential and sensitive. The position reports directly to the Chief Executive Officer (CEO). Duties will include assisting executive staff with a wide variety of activities including preparation of various correspondence, presentations and reports concerning a wide array of business issues, coordinating calendars and travel, assisting with communication, and leading company culture. This role requires efficient handling of multiple tasks with a high degree of attention to detail.

Requirements

  • A minimum of 3 years’ experience in a professional workspace.
  • Post-high school diploma education is preferred but RCIM will consider any suitable combination of education, training, or experience.
  • A warm, outgoing, and approachable interpersonal style able to build rapport across all levels of the organization
  • Prior experience in an executive support or senior administrative role is strongly preferred; familiarity with a professional services or financial services environment a plus
  • Proficiency with PC and OS computing systems, Microsoft Suite, AI tools, Adobe, and digital communication systems are key for success. Ideal candidate will have the interest, knowledge, and skills needed to seek out and test new systems which may streamline processes or benefit staff members.
  • Strong project management and organizational skills; ability to manage competing priorities and multiple tasks simultaneously
  • Effective written and verbal communication skills; ability to interface professionally with board members, executives, and external contacts
  • High degree of attention to detail and accuracy in preparing correspondence, reports, and presentations
  • Ability to exercise sound independent judgment and resolve problems with minimal direction
  • Demonstrated discretion and ability to handle highly confidential and sensitive information
  • Willingness to travel as required to support executive responsibilities

Responsibilities

  • Administrative Support Researches, analyzes and prepares reports regarding a wide variety of highly confidential corporate issues. Makes recommendations to resolve or advance issues. Facilitates and participates in development and implementation of corporate projects, including attending committee and staff meetings and note preparation.
  • Schedule Management Maintains the schedules of assigned executives, resolving conflicts and prioritizing commitments. Coordinates in-person and virtual meetings, calls and travel to accomplish business objectives. Assists, reviews, and recommends editorial changes to executive agenda books, reports, presentations, and other meeting preparation materials. Composes and reviews executive correspondence and other communications. Assists with monitoring and managing e-mails for executive staff.
  • Procurement & Office Management Manages and maintains office supplies, décor, and workspace to reflect a welcoming and productive environment for staff and visitors.
  • Event Planning & Cultural Leadership Be a leader of RCIM culture and plans firm events and team engagement activities Act as first point of contact for third-party events – RCIM-sponsored, client-hosted, presentations, etc. Identify charity or marketing opportunities in the community
  • Management Develops travel systems coordinating flights, accommodations, and transportation per personal preferences.
  • Expense Management Creates and maintains expense tracking system, ensuring timely submission, accurate records, and policy compliance.
