About The Position

Astro Mechanica is a vertically integrated aerospace company building a faster, more connected future. Our mission is to democratize high-speed flight by making supersonic travel flexible, accessible, and sustainable. We believe that rapid, on-demand, point-to-point global mobility will become the new standard for moving people and goods across the planet. To achieve this, we are integrating our advanced airframe and engine technologies—which include Duality™, our proprietary dual-use propulsion system—with a new flight operations model to make supersonic transport as efficient and economical as commercial air travel is today. In the near term, we are developing adaptable, high-speed systems to close aircraft performance gaps for the United States government. At Astro Mechanica, we require excellence regardless of department. While some roles require technical expertise, this role requires tenacity, attention to detail, strong communication, and endurance. You will be supporting our leadership team as a multiplier of their throughput. You will accomplish this by taking the many communications, events, and general noise, and refining it to the signal that truly demands their attention. You will need to operate with significant autonomy and hold a high bar without external validation. In return, you’ll have rare visibility into how a company at this stage actually gets built.

Requirements

  • 4+ years of experience in a role that demonstrates exceptional organizational ability and self-direction (an EA, chief of staff, operations, or similar)
  • Excellent written communication — you'll draft on behalf of the executive team regularly
  • Strong judgment about prioritization, urgency, and when to escalate vs. handle independently
  • Comfort and fluency with modern productivity tools (Google Workspace, Slack, project management tools, etc.)
  • Genuine interest in hard tech, aerospace, defense, or manufacturing — you don't need an engineering degree, but you need to care about what's being built here
  • SF-based or willing to relocate — this role is in-person

Responsibilities

  • Take full ownership of executive calendars and treat them as your work product. Don’t just schedule – protect time, identify priorities, and make judgement calls based on the understanding you build of each leader
  • Act as an agent of preparation – anticipate scheduling conflicts, track follow-ups, gather prep notes and materials, and see around corners wherever possible
  • Sift and manage high-volume email communication with sound judgement, elevating what needs attention and tracking what can wait
  • Communicate on behalf of executives internally and externally by matching tone, detail, and in a way that minimizes redundant chatter
  • Have vigilance in identifying items at high risk of being missed or left incomplete
  • Own logistics end-to-end — travel, offsites, team events, board meeting prep, and all the varieties between. This including reminding leaders of what is ahead rather than requiring reminders yourself
  • Take on discrete projects to completion — research, vendor coordination, cross-functional follow-up, whatever the moment requires
  • Be present and engaged in a physical office environment — this role is in-person at our HQ in SF
  • Handle sensitive information about the company, the team, and external relationships with discretion and strong judgment
  • Act with professionalism and display the emotional intelligence to connect with individuals of all backgrounds and levels
